Export invoices as CSV files
Started by Jamie Knight in Feature Requests | Done!
Could we add a feature to download invoices as CSV files? We use an external warehouse to send out our goods and they require invoices in CSV files to be uploaded to their system.

Great news everyone, today’s release allows you to export your invoices and bills into a CSV file. If you want to backup your invoices, play around with the numbers, get data into an add-on, move data between two Xero organizations, or a raft of other uses; you can now freely do so. Read what else is being released here in the release notes.

This would be handy, are there any outsourced warehousing service providers that integrate with Xero?

Hi - could we get an official reply on when we could get this functionality added. Its crucial to our business to be able to export invoices.

Officially we don't have anything official scheduled - to date this hasn't come up as a high area of demand however this Community is giving us more access to find out what people need!
@Jamie do you know what system your warehouse is using or is it something proprietary?

I also have internal shipping software that we need invoice CSV. Can you please let me know how I can do this?

Hi, we have the same problem. As we are trying to use Xero to do billing, however, we still need to export all the invoices as csv files back to our current system. If you guys can actually do sth on this, it'd be great.

We are using Unleashed for our inventory management - which supposedly integrates with Xero. But even Unleashed requests invoices to be imported in CSV format! Please add this functionality!

Hi Catherine, as per your reply on LinkedIn I have cast my vote on this subject to be able to 'Export invoices as CSV file' as I'd like to export from Xero Invoices with all the itemised lines. I look forward to having this feature.

If you're familiar with VBA in Excel this script is hopefully a good starting point to reformat the Detailed Account Transactions report into the Xero invoice import format. It may require some adjusting to work with your tracking categories, tax rates, split AR/AP invoices etc etc.

Hey Guys;
I'm working on some CSV mapping stuff for getting invoices INTO xero (and payroll too).
It's pretty easy to get them out via the API. If anyone's keen, I could easily knock this up and give you some early acces to it?

I am interested in IMporting invoice data into Xero. I have done it for initial setup and also tried using the templates for a monthly upload, but find this rather cumbersome when using multi-line invoices. I would certainly be interested in looking at what you are working on Matt.

Hi Matt
I'm also interested in what you have. Please let us know how we can find out more and/or have access.
Many thanks
Brigitte

The area we have come across is being able to answer the question what customers bought product ABC, and what products has customer XYZ limited brought? I have not found a way in Xero, and cannot export the invoice lines to be able to do it in Excel.

Hi All;
Have spent this weekend woking on my app, and it's working well!
I'd love to test it with a few more, varied CSV files. ATM I'm doing invoices, but doing any other sort of object inside Xero will be trivial once I have this working.
If you'd like to supply me with an example CSV file, please do so on matt@devlogic.com.au.
My aim is to have this application available for beta testing by the end of this coming week, after I have tested some more CSV files.
Cheers,
Matta

Hi All (again for today)
I've also got the CSV exporter working, so if you are after that, hit me up too.

Hey Everyone.
CSV2Cloud.com is now (nearly) ready to play with. Jamie is using it and merrily uploading and downloading his gear.
Hit me up again if you're still in need of this service.

I run a pick and pack fulfilment centre and the ability to take sakes export files from Xero is crucial to being able to do business with Xero users and also for our internal buisnesses.
Hi Matta, I have sent you an email as I am interested in the CSV export. I have sent you our csv file format with a sample export (import file).

This would be great for me, so I can run calculations in excel that is required on some of our invoices.

Hi Barrie and David,
I can help you import and export sales or invoices to and from Xero into CSV (or any other format convenient to you; eg. text files, excel spreadsheets, XML, EDIFACT, ANSI, etc.).

Hi Everyone.
CSV2Cloud.com is now fully operational.
Our customers are pretty stoked, they send an email to CSV2Cloud with a CSV (a MYOB export/import, for instance) and the invoices appear in Xero. Easy as that.
We're currently working on pricing but $99 setup (to configure your CSV to Xero) and $29 a month seems to hit the spot for most.
Happy to field any questions here, or on matt@csv2cloud.com

I can't believe this even needs to be requested!
CSV really should be a the 1st, primary export option, as it's essentially the lowest-common-denominator & is universally usable, unlike excell of g'docs.
Any report or statement *needs* to be in an Open & vendor-neutral format to make it useful for use by any other 3rd-party tools or custom applications.

Hi everyone, thanks for all your feedback. We don’t currently have any plans to change this. As Matt Barnett has mentioned in this thread, you can always use the Detailed Account Transactions Report (with some manipulation) to create a CSV invoice file. Feel free to contact Support if you need any help with this.

This option would be extremely beneficial to me. Alas neither the Customer Invoice Report or the detailed transaction report is really not what I need. Please keep me up to date if possible on this. Thanks

This feature would be extremely beneficial for sending data to external systems. We have a been able to do this in MYOB for years. We export all invoices for a client into a CSV file, and send to our client who then processes and pays our invoices based on this.
We are migrating to Xero, and have a need to replicate this. It would be great if invoices could be selected and exported in the same format as they are imported so we can send invoices in an electronic csv format to our client.

Hi Travis, can certainly understand the benefits of sending a CSV invoice file to your client - but as mentioned, it’s not on our radar at this stage. The beauty of Xero being fully cloud based is the ability to email your invoices to customers, as well as take advantage of the online invoice link in emails. When customers open the online invoice, they do in fact have the option to download it as a CSV or PDF. Obviously you can’t send multiple invoices in a batch (meaning they can’t be downloaded as a batch to CSV) but still might help you out a bit.

There are many other software programs out there that we all use and the flexibility to transfer data is essential in this IT environment. Xero needs to realise that it cannot make itself an isolated system but needs to integrate as much as possible to aid the client in accomplishing their desired objectives.

Hi Matt,
thank you for your response to Travis, I have tried those reports and they are just not want is needed, by a long way. A little tweak I accept to have to do to the report top get the right information out of it, but the two reports are a long long way from a little tweak. The only option is to export the invoice directly line by line, not invoice number and total value. Think Ross Wakelin has an extremely good point. Xero is a great piece of software and this lack of reporting is seriously letting it down.

Official Xero Update - 16 July 2014:
Hi everyone, just an update, development has begun on an invoice & bill export to CSV. Definitely looking forward to bringing it to you.

Hi Matt,
Do you by chance have an approximate timeline for this?
Thank you

Hi Melissa, no dates locked in as yet, but all going well it will be a handful of months (a small handful, I hope). The export is planned to be based off the invoice (and bill) list screens, exporting the standard fields in the CSV invoice import template, but with a few extra pieces of information as well. Thanks for your patience!

Hi Matt,
We need this feature for our business urgently. We opened up another company within xero and started invoicing under the new company, but now we have decided to stick with the old one. Is there any way I can get the invoices created under the new company back to the old one? There are about 100, and I am dreading the thought of having to manualy do them all again!
Thanks

Hi Miranda. If you're comfortable having just 1 line item on the invoices, you could export the Customer/Supplier Invoice Report(s), then massage the data into the invoice import file. You'll need to fill in a few gaps, but that may be easier than re-entering them all?
Hope that helps.

Merged: Invoices/Bills: Option to export to Excel - to print in any language
Printing in Excel it wil solve other language having a readable invoice (which we can't print invoice in our language) and it will be less expensive to Xero

Is there a way to individually export a invoice so that you can export a CSV with the item code and quantity directly from XERO? Or is there a add-on for that?

Yes I'd like to know this too - we need to be able to export CSV invoices for some of our customers. Just pdf is not sufficient.

Hi there @Shayla & Helena, if you use the search button to find the individual invoice, you can then use the Export button to create a CSV of just that invoice :)

Me again. Shayla & Helena, it was brought to my attention that there's also another way to do this too! If you send an Online Invoice to your customer (or view it yourself), you can export out a CSV version from there. Top right of the Online Invoice, there's the option to save it as as CSV - this means your customer can get the format they need, without you needing to send it to them.

Merged: Sales Invoice - Export to excel or CSV
Hi,
I have customers who would like invoices sent in an excel or CSV format so they can upload the contents and the individual charges into their own systems. I would suggest if there was a button providing an option to export when you click in to each individual invoice (like the button to download the PDF version) as is the case in other areas of Xero it would be very popular with businesses that have large customers who want that level of automation.
Thanks,
Andy

Hi Andy - I can see you've already touched base with Support on this, too. Is there any particular reason the existing Export option won't work for your client?
You can use the relative tab, as well as Search to narrow results and in turn the exported invoice data.
