My name is Nicole and I’m the Manager of Customer Happiness at Acuity Scheduling. From your review it’s clear that your happiness level is not where it should be, so I’d like to clarify a few things for you and others who might be planning on using the Xero/Acuity Scheduling integration…

-When an appointment is booked in Acuity it will trigger an invoice to be created. An invoice for each appointment booked. When a payment is made in Acuity at the time of booking this would be reflected on the invoice created in Xero . This would include an invoice for each recurring appointment booked as well.
-If an appointment is rescheduled it will not trigger an invoice to be created in Xero. Currently that’s not possible with the integration.
-The direct integration supports invoices for booked appointments only. Invoices will not be created for packages/passes purchased in Acuity. Although this isn’t possible with the direct integration at this time, it is possible to achieve this through Zapier.com! Zapier is a third party integration tool that connects different apps together without needing to use each program’s API! Pretty cool tool!
-Although an invoice wouldn’t be created when a package is purchased, an invoice would be created when an appointment is booked with a package code. The price on the appointment when booked with a package would be $0 (since the client has already paid for the package/pass. Invoices for free appointments or $0 invoices can be disabled in our Xero integration.

The integration, while meant to link up the two programs to make business’ day to day easier, isn’t perfect for every situation. Our integration specialists are continually making improvements, and feedback from users like you helps!

Massive problems with Xero and Acuity Scheduling. I'm a pilates studio. I had set up the system so payment was required when booking. Xero would create an invoice at that time. If they reschedule that appointment, the system would create another second invoice. If they purchased a 10 pass, it would issue an invoice for that 10 pass (no classes yet booked), and then a separate invoice for each class booked using that 10 pass. So for a 10 pass, there would be 11 separate invoices and I would end up having deleting a tonne each time. Most of my clients buy 10 packs so it wasn't working at all. Another problem was that it works out cheaper to buy a 10 pass rather than a casual visit, but the system wouldn't recognise this, so it would issue an invoice on purchase of the 10 pass and then 10 separate invoices for each individual booking at the casual rate (not the 10 pass rate). Again creating a hoopla of deleting, deleting and deleting all of which had to be done one by one - no group deletions. I ended up detaching Xero from Acuity and doing everything manually which completely misses the mark of what it was supposed to do ---- reduce my workload, not create it. The accountant couldn't work out how to get the two systems working together either. Now I'm stuck with Xero (I much prefer MYOB) and paying a fortunate in book keeping costs to sort out the system because it was in a bloody mess and I could;t make heads or tails of anything. YAYYYY

I might add that prior to running my own business, I did the books for 4 separate, large business for in excess of 12 years - BAS, IAS, tax reporting etc using MYOB and never had an issue so I'm certainly no novice to book keeping.
